Process for Handling Request for Burn Permits:
Request from an Applicant is received by the Office Support Staff (OSS).
The OSS sends the Applicant a Burn Permit Application Form and directs them to contact the Burn Permit Inspector to arrange initial site visit. They also forward the Applicant’s information to the Inspector for follow up.
The Inspector makes site visit to determine if site is appropriate for a burn site and how many piles will be burned. (Note: the burn permit fees are based on the number of piles will be burned.) The inspector checks site for required set backs, sufficient water supply, and wind restrictions. He informs the Applicant of required location of piles and applicable restrictions.
The Applicant is told how many piles are to be indicated on their application and the Inspector also gives that information to the OSS.
Process for Handling Burn Applications:
Burn Permit Application Form and fee payment is received by the OSS. The OSS processes the payment and initiates a Burn Permit Case in the Open Data System (ODS). Copy of documentation is given to the Inspector. ODS case is assigned to the Inspector for follow up.
Process for Burn Permit Site Inspections:
The Inspector contacts the Applicant to arrange for inspection of site once piles are in place and site is ready.
The Inspector inspects the burn site and if the site as been prepared and meets all requirements, then the Burn Permit is issued. (Note: Applicant is now referred to as the Permit Holder)
The Inspector directs the Permit Holder that they must call the Fire Alarm Office (FAO) after 9:00am on the mornings that they plan to burn, in order to receive permission to burn that day. There maybe days due to wind direction and or speed that will prohibit burning for a particular day.
The Inspector enters the approved Burn Permit information into the Burn Permit Program. This program is accessible to the FAO. The FAO checks this list to insure that any Permit Holder calling in for permission to burn as an approved Burn Permit, and that the wind restrictions of the permit are being met that day.
The Inspector follows up with the FAO each morning after 9:30 am to find out which Permit Holders are approved to burn that day.
The Inspector visits each active site to ensure that the requirements previously set for the site are being adhered to. The site is monitored until burn activity for the site is completed. If at any point regulations are not being adhered to by the Permit Holder, the Burn Permit can and will be revoked.
In addition both the ODS system and the Burn Permit Programs are updated day to day until permits are closed.
