ERD Coordinator (Medical Records Administrator)
Minimum Qualifications
Bachelor's degree. A minimum of two to four years of professional experience in personnel administration to include experience in medical records management are required.

NATURE OF WORK

This is advanced professional work in the physical examination and medical records program of the Employee Relations Department.

An employee in this class is responsible for the coordination of the County physical examination and medical records program. Responsibilities include supervision of technical and clerical employees engaged in day-to-day physical examination and medical records processing, coordinating work with medical centers and departmental officials, contacting responsible County administrators with physical examination results, reviewing medical center invoices and preparing vendor payments, and ensuring confidentiality of medical records information. Considerable independent judgment and tact are required in dealing confidentially with County and medical facility staff. Supervision is received from a professional superior who reviews work for conformance with standards provided to departments and medical providers.

ILLUSTRATIVE TASKS

Supervises and coordinates day-to-day physical examination and medical records processing.

Maintains schedules with medical centers for pre-employment, annual, drug/alcohol screening and other special physical examinations.

Works directly with medical center staff to clear applicants for employment; contacts departments with results; sends correspondence to applicants that fail drug/alcohol screenings in accordance with Administrative Order.

Works with vendors concerning reasonable suspicion and fitness-for-duty physical examinations.

Contacts department directors and other County officials with positive drug/alcohol results; contacts departmental representative for light/off-duty result categories; consults Medical Review Officer for advice on physical examination findings.

Reviews medical center invoices and prepares vendor payments; prepares and develops appropriate forms.

Ensures all regulations pertaining to confidentiality in physical examination and medical records processing are met.

Meets with medical centers to ensure compliance with established procedures and that drug/alcohol protocol is being met.

Prepares medical documents for court cases and provides testimony, as required.

Supervises microfilming and destruction of medical records.

Performs related work as required.

Considerable knowledge of County physical examination and medical records programs.

Considerable knowledge of the requirements for confidentiality in physical examination and medical records programs.

Considerable knowledge of public relations principles and techniques.

Considerable knowledge of personnel policies and procedures pertaining to medical requirements for employment in the County service.

Knowledge of supervisory principles and practices.

Ability to supervise and coordinate comprehensive physical examination and medical records programs.

Ability to deal tactfully and effectively with departmental officials, employees, and employees of private organizations.

Ability to understand and interpret medical examination results.

Ability to communicate effectively, verbally and in writing, to groups and individuals.

Ability to ensure confidentiality of program information in accordance with established regulations.
