Seaport Conference Coordinator
Minimum Qualifications
Bachelor's degree in Business Administration, Public Administration, Communications, Journalism or related field. One year of professional experience in planning and promoting conferences, seminars or conventions is required. Additional experience may substitute for required education on a year-for-year basis. Applicants qualifying for employment with the Miami-Dade Seaport Department will be subject to extensive security screening, including but not limited to fingerprint checks, employment verification, and other such procedures as may be mandated by federal, state, or local requirements. The security clearance required by federal law is a continuing condition of employment.
Job Specifications
NATURE OF WORK

This is advanced administrative work in marketing and promotions for the Seaport Department.

An employee in this class is responsible for planning, organizing and conducting industry conferences, seminars, conventions and exhibitions at the Port of Miami. Responsibilities include establishing event schedules and preliminary budgets, assessing needs for outside vendors and appropriate staffing, disseminating conference information, providing press releases and conducting post-conference evaluations. The incumbent exercises considerable independent judgment in organizing and coordinating effective and successful conferences, seminars and similar events. Supervision is received from an administrative superior who reviews work for effectiveness of conference coordination efforts and achievement of desired goals and objectives.

ILLUSTRATIVE TASKS

Plans, organizes and coordinates industry conferences, seminars, conventions and exhibitions involving large numbers of participants from local, state, federal and international agencies and organizations.

Develops and coordinates initial schedule of events, agenda and preliminary budget; assesses need for outside vendors and appropriate staffing; conducts initial interviews in the vendor selection process.

Assists in marketing events by developing mailing lists and disseminating conference information to potential attendees and participants; provides press releases to trade publications and other media.

Manages, monitors and coordinates conference registration process, transportation of participants and spouse programs.

Conducts post-event evaluations by analyzing surveys completed by participants, attendees and vendors; analyzes conference benefits to the local community.

Coordinates work with other departmental marketing and promotions officials to develop and publish conference brochures and other relevant materials.

Performs related work as required.

Considerable knowledge of the organization, operations and services of the Port of Miami.

Ability to plan, organize, coordinate and conduct large-scale industry conference, seminars, conventions and exhibitions for the Port of Miami.

Ability to establish rapport in dealing with officials of local, state, federal and international agencies and organizations.

Ability to provide effective assistance in promotional efforts for the Port of Miami.

Ability to evaluate the need for outside vendors and staffing for large-scale conferences, seminars and conventions.

Ability to analyze the effectiveness of conferences and make effective recommendations for improvements.

Skill in salesmanship.
