Fire Rescue Records, Incident Reports and Billing

The Miami-Dade Fire Rescue (MDFR) Records and Resources Bureau handles and processes all records requests for fire or medical incident reports and public records generated by the general public and the media, including:

  • Incident reports
  • Fire investigation reports
  • Occupancy inspection reports
  • Life safety inspection reports
  • Department personnel files
  • Department policies, procedures and memos
  • Data reports

In order to streamline processing, ensure accuracy, and track progress, it is preferable that public records requests are submitted in writing. Requests can be made by mail, email or in person. The request should also indicate whether the records should be sent by mail, email or if you will pick them up in person.

Email requests should have the individual or company name and "Public Records Request" in the subject line. Members of the media should use the media records email address.

Miami-Dade County now has a new public records management tool that allows you to request and track its status online. Create a new account or log in to submit and see updates to your public records requests.

State or federal laws may prohibit us from providing the requested records due to medical privacy laws or other exemptions.


After Receiving Your Request

Miami-Dade Fire Rescue will respond to all public records requests in a reasonable time, taking into account the extent and nature of the request. Within five business days of receiving the request, MDFR will take one of the following actions:

  • Notify the requestor of estimated costs and request payment in advance if the nature or volume of the requested records will require extensive use of information technology resources, extensive clerical or supervisory assistance, or both, in addition to the actual cost of duplication or production.
  • Inform the requestor that the MDFR is working on their request; give them an estimated time of completion and advise them about any specific circumstances affecting completion of the request.
  • Inform the requestor that MDFR is not the custodian of the public record or that federal law prohibits MDFR from providing the requested records due to HIPPA Privacy Rule or other exemptions that apply.

Non-Responsive Requestors

If a requesting party fails to respond to inquiries for clarification, cost estimates, or any other communication from MDFR for 30 business days, the request will be closed. A non-responsive request may be resubmitted and will be processed as a new request.
